What is the Community Zone Updates Task List and what should I do with it?

The Alma Community Zone (CZ) Updates Tasks job takes changes made to collections, portfolios, and titles in the Community Zone and pushes them into your local activations. These changes may include:
- Bibliographic record updates
- Linking parameter changes
- Title/Portfolio coverage date updates
- Titles/Portfolios added or deleted from a collection
- Removal of a collection from the CZ
Aggregator Collections:
- The job removes outdated titles that the vendor no longer owns, and adds new titles as they're added to the platform, which is good because it would be challenging to keep up with these changes yourself
- Your Service "automatically activate new titles" setting needs to be set to yes to inherit these changes
Selective Collections:
- You usually only subscribe to a subset of the content in a selective collection, such as Gale eBooks, so you wouldn't want the job to automatically add new titles that you might not be able to access. Your Service "automatically activate new titles" setting should be set to no for these collections. This means that if a new version of the title, with a separate portfolio, is added to the collection in the CZ, it won't be automatically activated for you.
- The job will deactivate a title that has been removed from the CZ collection, but it won't delete it. This is helpful to alert you that something has changed with that title. Those titles should end up in your DARA recommendations to investigate inactive portfolios.
The only way you'll know if a title or collection has been deactivated is if you keep an eye on the CZ Updates Task List, or if someone lets you know that they can't get access to content through Primo VE.
How to monitor the task list:
- Make sure that you've got the Repository Manager role
- Go to Resources>Manage Inventory>Community Zone Updates Task List
- You don't have to check the list daily, but weekly or monthly would be good. You could set a calendar reminder.
- Filter by the most important types of actions: Electronic collection deleted, portfolio deleted, and electronic service deleted.
- When you see something that has been deleted, you will need to take action to see if you should still have access. If not, fully delete the portfolio or Collection if the job didn't do that for you. If so, find the new version of the portfolio or collection, if there is one, and activate it.
