What causes the "Item not found at any member institution" error message when scanning an item for check-out or check-n?

Blank spaces, before or after the barcode number, in the item's record are sometimes caused when a barcode is cut and pasted into the physical item editor, instead of being scanned in. Alma expects the barcodes to match perfectly when scanning items in/out. Blank spaces in the barcode field of the item record will cause the "Item not found at any member institution" error message when an item is being scanned in/out because the barcodes will not match.

If you encounter the "Item not found at any member institution" error message appears during check-out/check-in, click on the "Select from list icon" and search and select the item using the search functionality.

Clean-up:

  • Institutions can identify barcodes with spaces before or after the barcode using CARLI's analytics report called “Item Maintenance Barcode Has Trailing Space Character”, which has been copied to our SUNY Consortia folder at the following path: Shared Folders/Community/Reports/Consortia/SUNY/Resource Management/Item Maintenance Barcode Has Trailing Space Character.
  • Barcodes that have been identified as having extra spaces by the analytics report can be manually cleaned up in the physical item editor or cleaned up using an API.
