Can a proxy user submit requests on behalf of their sponsor?
Answer
The December 2021 Alma release contains a new feature that allows library staff to create a proxy user account specifically for submitting hold and resource sharing requests on behalf of the sponsor. If a hold or resource request is submitted using one of these proxy accounts:
- Both the proxy and the sponsor will see the request in their Primo account
- Both the proxy and the sponsor will receive an email when the requested item is placed on hold or if the request is cancelled.
- The requested item will always be checked out to the sponsor, and the loan TOUs for the sponsor's user group will always be applied to the loan.
- Only the sponsor will receive due date reminders and overdue notices, and only the sponsor will be able to submit renewal requests.
- If a proxy request needs to be exported to ILLiad, it will not be attached to the sponsor's ILLiad account. If you have the automatic ILLiad user creation feature enabled, Alma will create a new ILLiad account using information from the proxy account. If you don't have the automatic ILLiad user creation feature enabled, the export will fail.
To create a fulfillment proxy user, check the "Add as a fulfillment proxy" when manually adding a new user, and then select the sponsor user from the list. Alma will apply the sponsor's request and loan TOUs to the proxy user, so you can put the proxy user in any user group you see fit. For more information on manually creating a user in Alma, please see How do I create and edit a user?
Important Notes:
- If a user is listed as a proxy under their regular user account, they will not be able to submit requests on behalf of their proxy. They will need one of these new proxy accounts to do that.
- These proxy accounts are internal accounts, so your library will need Alma authentication enabled for these proxy accounts to log in to Primo and place requests.
