How do I process Digitization requests?

Alma's Digitization feature allows users to submit requests for book chapters and journal articles from your print collection via Primo.  This FAQ covers how to process Digitization requests that have been submitted by users via Primo.  For information on how to configure Digitization in Alma/Primo, please see How do I configure Alma's Digitization Feature?.

The Digitization request processing workflow consistes of the following steps:

  1. Printing pull slips and retrieving requested items
  2. Managing in process items and delivering requested pages

In order to process Digitization requests, you need the Work Order Operator role scoped to your Digitization department or circulation desk. 

 

Printing Pull Slips and Retrieving Requested Items

When a user submits a Digitization request for an item, that item will appear on the Pick from Shelf list for the circulation desk that serves the item's location.  The Request/Process Type will be "Patron Digitization". You can print pull slips for Digitization requests in the same manner as hold and resource sharing lending requests.  Once you print your Digitization pull slips, Alma will generate the Ful Resource Request Slip letter for each requested item.  For more information on printing pull slips from your Pick From Shelf list, please see Printing Pull Slips

Once the requested items have been retrieved, scan them in using the Scan In function.  What happens next will depend on how you configured Digitization.

  • If you configured a standalone Digitization Department, the items will then be placed in transit to your Digitization Department.  Once they are scanned in at the Digitization Department, they will be added to the Manage In Process Items list. 
  • If you designated a circulation desk as your Digitization Department and the item is scanned in at that circulation desk, the item will immediately be added to the Manage in Process Items list.
  • If you designated a circulation desk as your Digitization Department and the item is scanned in at a different circulation desk, the item will be placed in transit to that circulation desk.  Once the item is scanned in at that circulation desk, it will be added to the Manage In Process Items list.

Once requested items have been added to the Manage In Process Items list, scan the requested portions of those items and save them to a directory where they can easily be retrieved once you're ready to deliver the files. Managing In Process Items and Delivering Requested Pages

 

1. Go to Fulfillment | Resource Requests | Manage In Process Items

 

2. Click the ellipsis next to the request you want to fill and then click Next Step.  Click the ellipsis next to that request a second time and then click Attach Documents.

 

3. Click the Add Attachment link and click the folder icon in the window that appears.  Select the file you wish to deliver then click the Add Attachment button.  Once the file has been uploaded, click the Done button.  The Ful Resource Request Slip Letter will be sent to the user, and the item will either be reshelved or placed in transit to its location depending on how you have Digitization configured.
