How do I customize request cancellation reasons?

The ability to customize fulfillment request cancellation reasons was introduced in the February 2023 Alma release. You can now do the following:
- Rename existing cancellation reasons
- Disable existing cancellation reasons
- Create new cancellation reasons
- Change the order of the cancellation reasons list
Editing your cancellations reasons will impact what displays in the cancellation reasons dropdown when you cancel a hold request, resource sharing request, or booking request.
In order to do this customization work, you will need the Fulfillment Administrator role.
Note: The save button will be labeled "Customize" if you've never made any changes to this table. Once you edit the table, the save button's label will change to "Save".
The back end codes for your cancellation reasons cannot be changed, but you can change their name as it appears in your cancellation reasons dropdown by editing their descriptions in the cancellation reasons table.
1. Go to Configuration | Fulfillment | Physical Fulfillment | Request Cancellation Reasons
2. Edit the Description value for the cancellation reason you wish to rename and then click the Customize/Save button.
Disabling Cancellation Reasons
You can remove individual cancellation reasons from your cancellation reasons dropdown by disabling them in the cancellations reasons table. Cancellations reasons that have been disabled will reappear in your cancellation reasons dropdown if you enable them again.
1. Go to Configuration | Fulfillment | Physical Fulfillment | Request Cancellation Reasons
2. Move the enabled button to the left for the cancellation reason you wish to disable and then click the Customize/Save button.
Creating New Cancellation Reasons
Ex Libris has added 10 new cancellation reasons to the cancellations reasons table. They are named Additional Reasons 01-10 (see screen capture below), and they are disabled by default. To create a new cancellation reason, rename and then enable one of these Additional Reasons as show above. Unfortunately, it is not possible to configure more than 10 new cancellation reasons.
Changing the Order of the Cancellation Reasons List
Cancellation reasons appear in your cancellation reasons dropdown in the same order they appear in your cancellation reasons table. You can reorder the cancellation reason dropdown by reordering how cancellation reasons are listed in the cancellation reasons table.
1. Go to Configuration | Fulfillment | Physical Fulfillment | Request Cancellation Reasons
2. Use the Move Up and Move Down buttons to reorder the list of cancellation reasons as you see fit and then click the Customize/Save button.
