What is a set and how is it managed in Alma?

Answer

A set is a collection of items. Sets can be created for Acquisitions, Users, and Resource Management. You can use sets to publish metadata in bulk, move a group of records, or run jobs.

There are two kinds of sets in Alma:

  1. Itemized: individual items that are selected from a repository search or uploading a file. Itemized sets are static and new records meeting the search requirements will not be automatically added to the set. Itemized sets may included deleted records.
  2. Logical: a saved search query that runs every time the set is used. Logical sets are dynamic and always reflects what is currently in the repository, which means items can be added or removed from the logical set.

Set content may consist of:

  • All titles/bibliographic records
  • Authority records
  • Physical titles/items
  • Digital titles/files
  • Electronic packages/portfolios/titles
  • PO lines
  • Users

Sets are managed on the Manage Sets page (Admin > Manage Sets)

The scopes on the Manage Sets page are as follows:

  • All – All queries. Only users with the Repository Manager role will be able to view All Sets
  • My Sets – Your saved search queries, both private and public
  • Public Sets – All users' saved queries that are not marked private
