Can ILLiad borrowing requests be renewed in Alma/Primo?
Answer
- Borrowing loan requests transferred from ILLiad to Alma via the NCIP addon can be renewed by users in Primo.
- Staff will need to manually renew requests in ILLiad
- An ILLiad server addon can automatically update Alma once the lending library has responded to the renewal request
Installing the Alma NCIP Borrowing Renewal Addon
- This addon is a server addon, so it needs to be installed through the ILLiad Customization Manager.
1. Download the Alma NCIP Borrowing Renewal addon .zip file and save it to your desktop.
2. Log in to the ILLiad Customization Manager and click the Server Addons tab
3. Click the New button, navigate to your desktop in the "Chose file to upload" window that appears, select the addon .zip file you downloaded, and click the Open button. Detailed instructions on installing server addons can be found here:
4. Highlight the Alma NCIP Borrowing Renewal addon, enter the configuration values listed below, set the Active field to Yes, and click the Save button.
- FieldToUseForBarcode: TransactionNumber
- NCIP_Responder_URL: Substitute "xxx" for your library's Alma institution code (i.e. the three letter code after "suny-" in your Alma login URL)
- renewItem_from_uniqueAgency_value: Substitute "xxx" for your library's Alma institution code
- ApplicationProfileType: ILL
- RenewItemSearchQueue: A custom queue for requests where the due date has been manually updated by staff or automatically updated by ID Logic after the renewal had been approved by the lending library.
- RenewItemSuccessQueue: The queue where borrowing loan requests are routed after they're transferred to Alma via the NCIP addon
- RenewItemFailQueue: NCIP Error: Renew Item Failed
Example:
Renewal Workflow
1. When a patron requests a renewal via Primo, the status of the request in Alma changes to "Mediated patron Renewal"
2. Staff will need to log in to ILLiad, open the request, and click the Renew button.
3. If the lending library approved the renewal request:
a. ILLiad routes the request to Awaiting Renewal OK Processing (IDS Logic may then route it to a custom queue after the renewal has been auto-processed)
b. Staff manually update ILLiad due date field and route request to custom queue (not necessary if IDS Logic is doing this for you)
c. The Alma NCIP Borrowing Renewal addon transmits the new due date to Alma and routes the request to the queue listed in the addon's RenewItemSuccessQueue setting.
d. The due date is updated in Alma, the request's status is updated to Renewed By Partner, and Alma sends a renewal notice to the patron
4. If the lending library denies the renewal request:
a. ILLiad routes the request to Awaiting Denied Renewal Processing
b. Staff send denied renewal email from ILLiad and manually change Alma request status to Renew Request Not Accepted
